About the Indiana Department of Insurance (IDOI): 
The purpose of the Indiana Department of Insurance is to protect Hoosiers as they purchase and use insurance products to keep their assets and their families from loss or harm. Consumers may need assistance with certain claim situations or just help in understanding how their policies work. Our other primary obligation is to monitor the financial solvency of the insurance companies domiciled in Indiana so that the legal promises made in insurance policies are honored. To these ends, our Department staff is committed to providing exceptional customer service for both our consumers and our companies, and to maintain a fair and objective viewpoint as we examine each issue and circumstance within our jurisdiction. 

 

 

Role Overview:

 

The Agency Services Specialist maintains the Resident Producer (agency and agent) data system to ensure the agency has a comprehensive list of Producers in the State of Indiana. You will support the Assistant Director in ensuring Producer applications and certifications are completed in compliance with federal and state codes. Key outcomes of this position are:

  • Review and process applications and renewals for Resident Producers (agents and agencies) license, Indiana Navigators, Organization Certification, Limited Lines Insurance, Excess & Surplus Lines Insurance.

  • Create monthly Producer Contact Lists.

  • Create and maintain monthly reports of Pre-licensing Education pass rates.

  • Create and maintain monthly reports of licensing statistics. 

  • Conduct and review criminal background checks, National Insurance Producer Registry (NIPR) searches, and other administrative support documents on all individual applicants to determine if a possible deniable offense could deny a license or certification application. This includes working with the IDOI Enforcement Division on further processing of possible deniable offenses.

 

Salary Statement

The salary for this position traditionally starts at $31,668.00 but may be commensurate with education or work experience.

A Day in the Life:

​​The essential functions of this role are as follows: 

  • Provides a wide range of administrative assistance to a department or division of a state agency.
  • Acts as liaison between program or department administration, state agencies, and interested parties.
  • Provides routine policy interpretation and related decisions to interested parties.
  • Researches and prepares various reports for supervisor.
  • Prepares and processes correspondence and verbally communicates with the public or other agency representatives. Directs incoming correspondence to the appropriate individual.
  • Reviews and inspects incoming documents for accuracy, completeness, and to ensure compliance with applicable federal, state, and local rules and regulations. Obtains necessary approvals if needed.
  • Provides technical guidance and composes manuals for agency personnel.
  • Coordinates clerical and administrative functions.

What You'll Need for Success:

The ideal candidate in this role should minimally have a 

  • High School Diploma or equivalent
  • 3 years full time experience performing administrative support, bookkeeping, office management, or related experience.

Related certifications and coursework may be considered for education or experience.

 

Upon entering the role, individuals must have or obtain the following requirements: 

  • General knowledge of office administrative functions, theories, and principles
  • Working knowledge of research techniques and report composition
  • Working knowledge of functions of other departments and agencies and their impact on the department
  • Effective written and verbal communication skills
  • Attention to detail and proofreading skills
  • Organizational skills with the ability to prioritize tasks effectively and multitask
  • Ability to use Microsoft Office Suite (Word, Excel, Outlook)
  • Ability to analyze procedures and policies and writes procedural manuals to recommend improvements
  • Ability to coordinate the work of the section staff
  • Ability to maintain cooperative work relationships

     

Supervisory Responsibilities/Direct Reports:

This role may be utilized in a supervisory capacity based on agency needs.
