Assistant Office Manager

Central Florida K-9 is looking for a full-time, Assistant Office Manager. CFK9 is a diverse and unique canine boarding, training and sports center located on 30 acres in Eustis FL. CFK9 specializes in the following areas: police and military working dogs, security, scent, tracking, sport and agility, civilian training classes/problem solving for pet dogs. Additionally, our trainers and dogs work on private and government contracts.

The ideal candidate should have a minimum of 3 years front desk/receptionist experience with at least 1 of those years at the Supervisory level, customer service, scheduling, inventory, a working knowledge of Word and Excel, have an interest working in the above-listed areas, and meet or exceed the requirements below. Front Desk experience at a veterinary or boarding facility is a plus.

Minimum Requirements:

  • Must be at least 21 years of age.
  • Associate’s degree.
  • Must be willing to work days, weekends and some holidays.
  • Must have a minimum of 1 years supervisory experience.
  • Must have experience using Word, Excel, Google, PetExec cloud-based software a plus.
  • Proven superior customer service skills; face-to face, phone and written.
  • Positive attitude, organizational skills and attention to detail a must, including the ability to thrive in a fast-paced environment.

Assistant Office Manager

*Works directly for and is responsible to the Business Manager and is an Administrative position.

Duties and Responsibilities include but not limited to the following:

Manage front desk/reception area, including small team of receptionists, work front desk as needed, works with the management team to facilitate a smooth and professional atmosphere, enforcing the standards set forth by the owner via the employee handbook and below.

Supervision and performance of the below core duties include but are not limited to:

Office Administration

  • Ensure veterinary and client records are processed correctly.
  • Keep all client records updated and will work closely with the Kennel and Training Manager.
  • Create and organize various documents and forms used for training, scheduling, invoicing, and contract quotes.
  • Responsible for Point-of-Sale devices, training employees in the use of such, and trouble shooting.
  • Perform monthly inventory of supplies.
  • Working closely with the Kennel and Training Manager and Health and Wellness Manager, responsible for the files of all company owned dogs, including directed training, vaccination, food schedule, medications, supplements and equipment assignments, records and inventory.

Human Resources/as it relates to the front office.

  • Process new employee paperwork as required by Dept. of Labor.
  • Screen new applicant resumes and delivers to owner for review.
  • Payroll Point of Contact. Calculate employee hours worked, sick leave, vacation leave and provide to Business Manager.
  • Works closely with other managers to ensure training of new employees is consistent and completed meeting all labor law requirements in a timely manner.

Marketing

  • Responsible for customer care through newsletter updates.
  • Maintain up-to-date database of media organization contacts and prepare Press Releases.
  • Press Release writing, submission, and follow-up with media contacts to publication.

All software used will be approved by and monitored by the Business owner

Job Type: Full-time

Pay: $16.00 - $18.00 per hour

Expected hours: No more than 40 per week
