Job Description

Qualifications:

  1. Bachelor's degree in Business Administration, Communications, or a related field.
  2. Minimum of 0.5 years of experience as an executive assistant or in a similar role.
  3. Excellent organizational and time management skills, English and Chinese are workable.
  4. Proficiency in Microsoft Office Suite and experience with calendar and project management software.
  5. Strong interpersonal and communication skills, with the ability to liaise effectively at all levels of the organization.
  6. Flexibility to work extended hours and travel as required.
  7. Knowledge of international travel protocols and experience with travel booking platforms.
  8. Discretion and professionalism in handling sensitive information. Key Responsibilities:
  1. Maintain and update the CEO's calendar, ensuring all meetings, appointments, and events are accurately recorded and prioritized.
  2. Coordinate with internal and external parties to schedule meetings and conference calls, including handling invitations and confirmations.
  3. Plan and organize all travel itineraries for the CEO, including flights, accommodations, and ground transportation.
  4. Ensure travel arrangements are efficient, comfortable, and adhere to company policies and budget constraints.
  5. Conduct thorough research on destinations, including local customs, business etiquette, and security considerations.
  6. Prepare necessary travel documents, visas, and itineraries.
  7. Arrange for meetings and presentations, ensuring all materials and equipment are ready and in place.
  8. Coordinate with other assistants and support staff to manage logistics for larger events or off-site meetings.
  9. Serve as the primary point of contact for the CEO, managing incoming communications and directing them as appropriate.
  10. Draft correspondence, emails, and other communications on behalf of the CEO as needed.
  11. Assist with the coordination and tracking of special projects and initiatives as assigned by the CEO.
  12. Provide administrative support, including document preparation, data entry, and research.
