Job Description
We’re looking for a motivated real estate executive assistant to assist the principal broker and complete administrative tasks. Responsibilities include liaising between the managing broker and clientele, screening messages and notifying the broker of important information, and overseeing schedules and travel arrangements. You’ll also be responsible for organizing office records and customer data, ordering office equipment, and completing other administrative tasks as needed to support the team. Responsibilities:
• Schedule meetings, travel itineraries, and any other relevant appointments for broker
• Keep a balanced record of the broker’s business transactions
• Take notes and deliver messages from phone calls, emails, memos or reports to the broker
• Implementing filing systems and order office supplies as needed
• Complete administrative duties, like picking up orders, or other tasks as needed
• Provide high-level executive support, including managing calendars, emails, and travel arrangements.
• Handle confidential information with discretion.
• Prepare meeting agendas, presentations, and reports.
• Act as a liaison between the executive team and clients, agents, or vendors.
• Oversee transaction coordination and ensure deadlines are met.
• Maintain and update databases, CRM systems, and client records.
• Conduct research, compile data, and support decision-making processes.
• Assist with marketing efforts, including managing social media accounts and drafting property listings.
• Plan and coordinate events, meetings, and training sessions.
Manage real estate-specific tasks, including:
• Listing preparation and marketing efforts.
• Coordinating and attending property showings and inspections.
• Facilitating prospecting efforts and distributing leads to agents.
• Assisting buyers with property showings and final walk-throughs.
Qualifications:
• High school diploma or equivalent required
• Real estate experience preferred but not required
• Excellent communication skills and organizational skills
• 2+ years experience as a personal assistant, office manager, or related position
• Familiar with Microsoft Word, Excel, and Multiple Listing Service
• Proven experience as an Executive Assistant, Administrative Assistant, or similar role (real estate experience preferred).
• Exceptional organizational and time management skills.
• Strong written and verbal communication skills.
• Proficiency in Microsoft Office Suite, Google Workspace, and CRM software.
• Valid driver’s license and reliable transportation.
• Ability to multitask and prioritize in a dynamic environment.
• High level of professionalism and discretion.
