Receptionist / Office Assistant
Job Description:
Responsible for answering the incoming calls, creating a positive interaction with the caller, deal appropriately and in a timely fashion with all calls, greet people as they come into the office and direct them accordingly. Office Assistant responsibilities include correspondence, preparing forms and documents as need by The Agency, assisting in management of clinical supplies and any other office duties as assigned.
Duties and Responsibilities
Receives, coordinates and directs all incoming calls. Maintains a pleasant and cooperative attitude and phone voice.
Assists clients and visitors into the facility
Creates orientation manuals for newly hired staff
Manages Patient Safety Satisfaction Surveys for the perinatal program
Sends daily morning email to Hospice and Home Care from the previous evenings On Call
Monday and day after holidays - sends weekend Coordination notes to Hospice, Homecare and Telehealth
Opening and closing of office: locking doors, turning off equipment, checking windows on first floor, proper care of lab items - calls lab for pickup when necessary (labs placed in outside box by end of day)
Enters daily cash and checks into cash log
Manages OIG report monthly on all staff and Board of Directors
Manages LNA Newsletters
Prints out Newsletter and tests
Scores tests when returned
Prints and collates Chronic Care/Disease Management booklets and keeps supply stocked
Data Entry
Manages Episode Summary Reports
Processes orders in Fax system
Scans paperwork and enters appropriately into Healthcare Document Management System
Sends daily morning email to Home Care and Hospice on previous evening"s calls
Orders all laboratory supplies and makes sure clinical room is in orderly fashion
Assists and acts as backup for management of clinical medical supplies
Manages postage meter, filling funds and updating logo, orders ink
Schedules and accepts appointments in Outlook
Fulfils additional duties as assigned and as necessary
Participates in personal growth and development
Chairs the Social Committee
Qualifications:
Completes work and documentation with accuracy and within agency time frames
Requires minimal supervisor and is self-directed
Protects and honors customer and co-worker confidentiality
Meets attendance and punctuality expectations
Demonstrates cooperation with scheduling requests to meet agency needs
Consistently adheres to agency dress code
Demonstrates knowledge of policies and procedures applicable to own job position. Adheres to agency policies and procedures
Maintains agency property, supplies and equipment in manner that demonstrates accountability
Works towards resolutions of interpersonal conflicts as they arise
Develops cooperation and collaborative work efforts that generally benefit all employees.
Requirements:
Office administration/secretarial training beyond high school
Experience in Microsoft Office
Must be comfortable with use of technology
