Job Description:

We are seeking a dynamic and highly organized Event Assistant to support our event planning team. The Event Assistant will help execute and manage various aspects of events, ensuring smooth operations and a seamless experience for attendees. This role involves working closely with internal teams, vendors, and clients to coordinate logistics and deliver high-quality events. Key Responsibilities:

  • Coordinate event logistics such as venue selection, catering, transportation, and accommodations.
  • Communicate with vendors, suppliers, and clients to ensure timely and accurate delivery of services.
  • Prepare event materials, including agendas, registration forms, name badges, and promotional items.
  • Manage event registration and guest lists, providing on-site assistance as needed.
  • Handle event-related administrative tasks, such as scheduling meetings, sending invitations, and updating event timelines.
  • Provide on-site support during events, assisting with guest inquiries, troubleshooting issues, and ensuring all event components run smoothly.
  • Assist with post-event follow-up, including sending thank-you notes, gathering feedback, and tracking event outcomes.
  • Ensure compliance with all health, safety, and legal regulations during events.
  • Help maintain and organize event supplies and inventory.

Qualifications:

  • High school diploma or equivalent; a degree in Event Planning, Hospitality, Communications, or related field is a plus.
  • Strong organizational skills with attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
